Event Planning Services
We are thrilled to offer Management and Day-of Coordination Services in-house as an additional service! Sarah Bianculli has 20 years of experience working in event planning and design. She worked in event planning and fundraising before founding her own design and letterpress studio where she collaborated with hundreds of couples on their wedding stationery. In 2015 she established Garden Gate at Haley Farm with her husband, bringing her experience and love for planning, weddings, and an eye for details together! She began offering Day-of Coordination to Garden Gate couples in 2021.
Sarah will help bring the vision you have been planning for months (even years!) to fruition while being a trusted line of communication between you and your vendors in the weeks leading up to and during your wedding. She will provide consultation, organization, coordination leading up to your wedding and execution on your wedding weekend.
Garden Gate at Haley Farm requires all couples to work with a Day-of-Coordinator, at minimum, to ensure your day runs as smoothly as possible. It is one of the best investments and gifts you can give yourself and your family. It is the gift of time to be completely present in your day and the peace of mind knowing a professional is handling everything happening behind the scenes. We are so excited for the opportunity to work together!
What Our Services Include
Day-of Coordination is $2,000 with a $500 first payment and signed contract, and includes all of the following:
Pre-Wedding Services
A scheduled phone call to discuss final details 4 - 6 weeks before wedding
Timeline creation and management with vendors
Reach out to vendors as a point of contact
Create a detailed floor plan for the interior of the barn, cocktail lawn, and other relevant spaces
Create a backup plan for the ceremony in the event of inclement weather
Complete a pre-wedding walkthrough at the venue
Assist with any planning, decor, and related questions as you finalize details
Wedding Weekend Services
Lead the wedding party, officiant, and any vendors for the wedding rehearsal on Friday
Be the primary contact (the “go-to person”) for the couple, vendors, guests, and service providers.
Oversee and execute the detailed timeline during the entirety of the Wedding
Coordinate and remain the primary point of contact with vendors during the Wedding Weekend.
Ensure that the barn interior is executed according to the floor plan
Assist with the set-up of decorations and related items as needed on Friday and Saturday
Execute the processional timing of the ceremony
Provide oversight throughout the wedding day and evening with all wedding vendors
Assist with monitoring and enforcing against the violation of any vendor guidelines, rules, local ordinances and state and federal laws during the Wedding Weekend
Consolidate all decor and rentals at the end of the evening
Ensure all gifts and cards are in a secure location
Deliver gratuites to all vendors
Post-Wedding
Ensure all rentals and items from outside vendors are picked-up
Other things we have been known to do: cutting the wedding cake and arranging desserts, bussing tables, wiping down seating after inclement weather, arranging for transportation for guests at the end of the night, providing fuel to a guest that is running low on gasoline, providing sewing supplies for a wardrobe malfunction, putting batteries in bubble wands, lighting sparklers, attaching bouts, securing flowers on the arbor, starting the fire pit, and so on! You, your family, guests and vendors can rest assured we are ALWAYS willing to lend a hand to anyone in need.
